WinSYS City Campus is committed to providing a safe learning environment. This policy explains our responsibilities, what to do if you are worried about someone, and where to get support.
1. Scope
This policy applies to all learners, including those under 18 and adults at risk, and to everyone working or teaching at our campuses, online, or on activities arranged by us.
2. Our commitments
- To take seriously any concern about the safety or welfare of a learner.
- To respond promptly, proportionately and with the learner's wellbeing as the priority.
- To keep records securely and share information only with those who need it.
- To make our staff aware of how to recognise and report a concern.
3. Learners under 18
Where a learner is under 18, a parent or guardian is named at enrolment and is entitled to information about attendance, progress and welfare, in line with our Parent / Guardian Data Sharing Policy. Certain programmes carry a minimum age set by the awarding organisation, and this is checked at application.
4. Raising a concern
If you are worried about your own safety or someone else's, tell any member of staff, or email welfare@winsys.lk. You may also raise it through your student portal. If someone is in immediate danger, contact the emergency services first.
5. Bullying, harassment and discrimination
Bullying, harassment, sexual harassment and discrimination are not tolerated, whether in person, in class, online or through messaging. Reports are investigated under this policy and may also be dealt with under our disciplinary arrangements.
6. Wellbeing support
Learners experiencing difficulty โ health, financial, family or academic โ are encouraged to speak to us early. We can discuss extensions, study arrangements, payment arrangements and referral to appropriate external support. Speaking to us does not affect your standing on your programme.
7. Confidentiality
We keep concerns confidential so far as we are able. We will explain if information has to be shared to keep someone safe, and with whom, wherever it is appropriate to do so.
