Assessment, Resubmission, Appeals & Complaints

This policy explains how work is assessed at WinSYS City Campus, what happens if a learner does not pass first time, and what a learner can do if they believe an assessment decision or a service they have received is wrong.

1. Assessment

  • Assessment criteria are published in the assignment brief before the work is set.
  • Submission deadlines, format and evidence requirements are stated in the brief.
  • Work is assessed against the published criteria only โ€” not against other learners' work.
  • Learners receive written feedback identifying what has been achieved and, where relevant, what is required to achieve more.

2. Late submission and extensions

A learner who cannot meet a deadline for a good reason may request an extension before the deadline, through their student portal. Requests are considered on the evidence provided. Work submitted late without an agreed extension may be assessed at the next available opportunity rather than the current one.

3. Resubmission

Where a learner does not meet the assessment criteria, one resubmission opportunity is normally permitted, subject to the rules of the awarding organisation, provided that:

  • the learner has met the original submission deadline or an agreed extension;
  • the assessor judges that the learner is capable of meeting the criteria without further teaching; and
  • the resubmission is the learner's own work, completed within the authorised deadline.

Resubmission arrangements are recorded and internally verified in the same way as first submissions.

4. Appealing an assessment decision

A learner who believes an assessment decision is wrong may appeal. The stages are:

  1. Informal โ€” raise it with the assessor within 10 working days of receiving the decision. Many matters are resolved at this stage.
  2. Formal โ€” if unresolved, submit a written appeal to the quality-assurance lead within 10 working days of the informal outcome, stating the grounds and enclosing any evidence.
  3. Review โ€” the appeal is considered by a member of staff not involved in the original decision. The outcome is given in writing, normally within 15 working days.
  4. Awarding organisation โ€” if the learner remains dissatisfied, the appeal may be referred to the awarding organisation under its own appeals procedure.

An appeal is never held against a learner. Grades are not reduced as a result of appealing.

5. Complaints

A complaint about teaching, facilities, administration or conduct may be made in writing to complaints@winsys.lk or through the student portal. Complaints are acknowledged within 5 working days and normally answered within 15 working days. Complaints are recorded, and trends are reviewed as part of continuous improvement.

6. Anonymity and fairness

Appeals and complaints are handled confidentially, so far as is consistent with investigating them properly. No learner is disadvantaged for raising a concern in good faith.
